Let's talk about all the subtleties and possibilities of Kwiga for transferring the existing database of contacts.

If you already have a formed database of contacts, then you do not need to add each person individually. You can import and transfer all data in one action - bulk import. Also note that if you forgot to transfer some field, data or other information, you can always do it later, even after the import is completed.

Preparing a contact card for transfer

By default, standard fields are available on the Kwiga contact card. As usual, we do not limit you in what data to store and use, you can add any fields used in your processes. This can be done by going to CRM Contacts and selecting Settings (gear icon) - Adding Custom Fields.

On this page, you can add a field that will appear on all contacts added earlier, as well as on all contacts that will be added later. Here you can also change or delete existing custom fields. When fields are deleted, all data contained in them will also be deleted.

There are also default fields that cannot be edited or deleted:

If the contact database you are migrating contains only standard fields - you can skip the step below and go directly to Bulk import. If you are transferring additional data, you need to create all the fields that will be used during import.

To add a new field, use the +Global Field button. When you click it, you will be prompted to select the field type:

String field - a field for entering text, so, any information. Suitable for links to Instagram, Telegram and other social networks, brief notes and audience classification.

A text field is also a text input field, it differs in the length of the text itself, which can be stored in this field. Suitable for comments, storing important notes, correspondence history and other long texts.

Phone - only digits can be added to the field

Email Mail - you can only add emails

Dropdown List - you can create a dropdown list and enter values. Convenient for various statuses, marks for the traffic source and other things. The added values can be moved by adjusting their order in the list by dragging the two stripes icon.

Bulk Import

Go to CRM Contacts and select +Contact and then Import.

On the page that opens, you will see the Import history and will have the ability to run previously added files, or view completed imports in detail: which contacts were added to each of them. To add new clients to CRM, click +Import. On the page that opens, specify the name of the import and select the file containing the emails.

If your file contains column names, then check the "Skip first line" slider.

At this step, you can also:

  • assign a tag(s) to all contacts in the file.
  • issue access to the product by specifying an offer or full access.
  • sending an activation email is an optional step and only informs the user that he has been added to your project's contact list.

Go Next, and after waiting for a while, you will see a table with contacts. You can Skip Columns or select a specific field to enter data. When you're done, click - Run Import.

Please wait for some time: from a few seconds to several minutes, the waiting time depends on the number of contacts you are adding.

Update contact information

You can update the data of existing contacts in Kwiga CRM. For example, you previously transferred only emails and now decided to transfer other fields as well. Just import the file again. All emails that are already in the CRM will not be re-added, such contacts will only have their data updated.

In this way, you can easily add tags to certain participants by simply entering these tags in a file next to contacts. Or add a custom field and enter the information you need into it.

Please note: if information is already stored on the contact in the specified field, it will be overwritten during import to the one specified in the file.
