An automated webinar is a type of webinar that is pre-recorded and played back automatically at scheduled times for registered participants. Unlike a live webinar, an automated webinar does not require the host to be present during the broadcast. Instead, the content is launched automatically at the specified time and date for those who have registered. Participants can watch the webinar recording at their convenience on any internet-connected device.

Automated webinars are often used for content reuse, evergreen sales, and marketing automation.

Why is an automated webinar a good solution?

Here are several reasons why automated webinars can be a great tool for your business:

  • Convenience and accessibility. Automated webinars allow participants to access the webinar recording at any time and from anywhere in the world. This flexibility makes training and marketing activities much more accessible.

  • Efficiency. With automated webinars, you can reuse existing content multiple times. Additionally, the content can be refined and improved to better meet your audience’s needs.

  • Time and resource savings. Hosting an automated webinar is typically more cost-effective and less time-consuming than running a live event. You don't need to worry about technical setup, physical space, or scheduling availability.

How to Schedule an Automated Webinar

At the top of the Kwiga platform, go to the Webinars tab and click Start New. On the page that opens, click +Event, and select Automated Webinar from the list.

Its name can be changed in the automated webinar settings.


Schedule the date and time

Important — by default, the time zone you selected during registration is set. The date and time are strictly set according to this time zone. If you plan to hold the webinar for attendees in a different time zone (for example, in another country), please pay special attention to this point.

You can change the time zone using the dropdown menu.

Free Automated Webinar

To host a free automated webinar, go to the Access and Registration section and select the option Registration Only Required. In this case, anyone who registers for the webinar will be able to attend.

Paid Automated Webinar

To host a paid automated webinar, go to the Access and Registration section and select the Paid Participation option, then specify your offer.

Repeats

You can set the frequency for repeating the automated webinar, for example, on specific dates or days of the week.

Video Settings

The video source can be:

  • YouTube — copy the link to the video from your YouTube channel. This can be either a public video or an unlisted video.
    Important: If you plan to restrict access to the content, we recommend using an unlisted video. In this case, YouTube generates a unique link that is known only to you. You control who receives the link. This way, you can sell your automated webinar confidently, knowing that participants won’t share the link with others. Since viewers watch the video on KWIGA and not directly on YouTube, they won’t have access to the original YouTube link.

  • Vimeo — copy the video link from Vimeo.

User Device or KWIGA Media Library

Click the “+” button and choose either “From Computer” or from the KWIGA Media Library. You can upload files up to 1 GB in the following formats: .mov, .mp4, .3gp, .divx, .flv, .mpeg, .mpg, .wmv, .mkv.

Automated Webinar Cover Slide

The cover slide is the title image that will be visible in the webinar room before your webinar starts.

Supported formats: .jpg, .jpeg, .png

Aspect ratio: 16:9

Maximum file size: 10 MB

Advertising Block

If needed, you can enable an advertising block.

Finalizing the Automated Webinar

Once everything is ready, click “Next” and then “Schedule”.

A link to the course presentation page will be generated, which you can use to attract your audience.

To copy the link, click the copy icon.
