Learn how to configure and automate the process of assigning assistants to students.

Automatic assignment of assistants and students to groups significantly simplifies the management of the learning process. This feature allows you to determine, already at the stage of tariff setup, which assistants will work with specific students. This ensures convenience and automation of administrative tasks.

Important: For the platform to automatically assign assistants to students, you must specify the assistants in the tariff settings. This must be done before participants are added to the product. If these settings are changed after participants have been added, the automatic assignment will not work, and you will have to assign assistants manually.

It is enough to add team members in the dashboard, define assistants in the tariff settings, and choose the distribution method in the offer. The platform will automatically assign assistants to students, reducing administrative tasks and eliminating the need for manual distribution. After that, you can immediately start selling or providing access to the products. This approach makes the educational process more organized and efficient.

Setting Up Assistants in an Offer

Additional parameters can be configured directly in the offer settings. In the Product section, you need to add assistants who will work with students under this pricing plan.

You can also set the validity of the assistant’s access if students are only meant to have access for a specific period. After expiration, the assistant can still see the student and their assignments, check the work, and leave comments. However, the student can no longer select that assistant from the list when writing a comment on an assignment.

For example, this may be useful for temporary assistants or limited-time support after course completion.

Details on how to create an offer are available in a separate article.

Options for Assigning Students to Assistants

Kwiga offers three primary methods for automatically assigning students to assistants:

  • Equally between assistants – the system distributes new participants evenly, ensuring a balanced workload.

  • Specific % – participants are assigned according to a specified percentage ratio. The total must equal 100%.

  • To all at once – the participant is added to each assistant's group, allowing them to communicate with any of them.

System Assistant Groups

System assistant groups are created automatically and play a key role in the automatic student distribution. When participants are added through an offer with configured distribution, they are placed into these groups. All groups can be viewed in the Courses – Team, Assistants, and Student Groups menu.

On the Groups: Participants tab:

System groups work as follows:

  • For each assistant specified in the offer, the system automatically creates a separate group on the product.

  • If distribution is set to equal or by percentage, the system assigns participants to the respective assistant groups based on the defined parameters.

  • If the “to all at once” option is chosen, participants are added to each system assistant group simultaneously.

  • If an assistant is assigned to multiple pricing plans within a single product, all participants from these plans are added to one system group for that assistant. Separate groups for each plan are not created.

Important: You can manually add individual students to an assistant’s system group if needed.

Automatic distribution in Kwiga enables effortless management of the educational process. Flexible settings allow precise control over who works with which students and the system independently assigns participants according to the defined parameters.
