Importing and transferring the student database

On this page, you will understand how to quickly transfer existing contacts, students, and even students' current progress from another platform to KWIGA.

If you already have a formed database of students, then you do not need to add each student individually. Instead, you can import students directly to a specific course or CRM Contacts. In both cases, you can immediately add students' access to the course. Where to import contacts depends on your personal preference. In any case, we recommend using offers to issue access rather than individual orders when bulk importing. Even if you want to give out full access to the course without restrictions on lessons and in time - we recommend creating a relevant offer. This will make it easier to control and manage access in the future and work with the audience itself.

Import on course

To import students to a specific course, follow these steps: Products - Course - select the desired course and click the Course Members button.

On the course members page, you can see who has access to the course and add more members by clicking the +Member button and selecting Import.

On the open page, you can see the import history: previously uploaded files and their status, and add a new file to import. Then, you can download it as a simple email list and an extended table with personal data, nicknames in social networks, and even personal notes. Recall that on Kwiga, you can add a custom field to the contact card based on your business processes and use this field in automation and audience segmentation. To add a new file, click the +Import button, and in the window that opens, select the file to import and give the import a name. This name will be visible only to you and your team members with access to add contacts.

When importing a CSV file, specify a separator character for the columns. If you are unsure or do not know how to identify this symbol, please contact Kwiga Care. You do not need to specify the separator if you have an XLS, XLSX file.

Check the "Skip first line" slider if your file contains column names.

At this step, you can also:

  • assign a tag(s) to all contacts in the file.
  • issue access to a product: issue access is similar to a single import. Pre-registration - will not give participants access to the course; it is only a label that allows you to find such participants later, send them a mailing list, or track who paid.
  • send an activation email is optional and only informs the user that he has been added to your project's contact list.

A loader will appear when you click the Next button, and you must wait a few seconds. The waiting time depends on the size of the file, the number of contacts in it, and additional columns.

On the next page, you will see information about the settings selected in the previous step and data columns. For each column, you can specify whether they need to be imported and in which field on the contact card to enter information. In addition, you can skip some columns, or import only email addresses.

When All columns are checked - click Run import.

Note: In this step, you can also add a tag to members by selecting a specific column and tagging it with a tag. For example, it can be convenient if the column contains a tariff and you import all participants simultaneously. Subsequently, you can use the tag to filter members by tag and grant access to each group according to the rate. It is convenient to use tags if you plan to distribute participants among curators.

Import to CRM

There is a second way to bulk import contacts. It is convenient to use if you are transferring your contact database for mailing lists, just your customer database without being tied to any course, or it is simply more convenient for you to work directly in CRM.

Go to CRM Contacts and select +Contact, and then Import.

As in the case of imports in the course, you will see the History of imports, the ability to run previously added files or view completed imports in detail: which contacts were added to each of them. For example, to add new clients to CRM, click +Import. Then, on the open page, specify the import name and select the email address file.

Check the "Skip first line" slider if your file contains column names.

At this step, you can also:

  • assign a tag(s) to all contacts in the file.
  • issue access to the product by specifying an offer or full access.
  • send an activation email is optional and only informs the user that he has been added to your project's contact list.

Go Next, and after waiting for a while, you will see a table with contacts. As with Course Import, you can Skip Columns or select a specific field to enter the data. When you're done, click - Run Import.

Update contact information

You can update the data of existing contacts in Kwiga CRM. For example, you previously migrated only email addresses and now decided to transfer other fields. In this case, do not issue access to the product and do not check "Send activation letter." All addresses already in CRM will not be re-added; such contacts will only have their data updated.

In this way, you can easily add tags to certain participants by simply entering these tags in a file next to contacts. Or add a custom field and enter the information you need into it.
